ProPresenter performance settings for smooth playback

Stuttering video during a service is one of those problems that feels like a hardware failure and almost never is. In most cases the machine is fine and the media is wrong. Here is how to find the real bottleneck quickly.

Diagnose in this order

Work through these before changing any settings. The order matters, because each step rules out a whole category of causes.

1. Does one specific clip stutter, or all of them? One clip means a media problem. All clips means a system problem.
2. Does it stutter from local storage? Copy the clip to the internal drive and test again. Network shares and USB sticks cause exactly this symptom.
3. Does it stutter with only one output connected? If it improves, you are pushing more pixels than the machine comfortably handles.
4. Does it stutter with nothing else running? Quit browsers, sync clients and streaming software, then retest.

Get your media right

This solves most cases on its own.

• Codec. Stick to widely supported delivery codecs, H.264 or H.265. Exotic formats and editing codecs are not designed for live playback.
• Bitrate. Keep HD material at a moderate bitrate and 4K proportionally higher, but resist the urge to use export presets built for archival quality. A 200 Mbps background loop is a self-inflicted wound.
• Alpha channels. Clips with transparency need a format that supports it properly. ProRes 4444 is the usual recommendation.
• Resolution. Do not play a 4K clip on a 1080p screen. Downscaling in real time costs performance for no visible gain.
• Frame rate. Match your output. Mixed frame rates cause judder that looks like dropped frames but is not.

Storage matters more than people expect

Media should live on fast internal storage. External drives over USB are acceptable for archives but not for live playback. Network shares are worse: a single backup job or someone copying files elsewhere on the network can starve playback at exactly the wrong moment. Keep at least fifteen to twenty percent of the drive free, because full drives slow down.

System settings on the production machine

• Disable sleep, screensaver and automatic display dimming.
• Turn off notifications, which can appear on the audience output.
• Postpone operating system and application updates until after the event.
• Exclude your media folder from real-time antivirus scanning on Windows.
• Pause cloud sync clients. They wake up at the worst time and saturate both disk and network.
• Keep GPU drivers current on Windows, but update them midweek and test afterwards.

Reduce the pixel load

If the machine is genuinely at its limit, the fastest fix is to send fewer pixels. Drop a secondary screen to a lower resolution, run the stage display at 720p, or use 1080p for the streaming feed rather than 4K. Nobody in the room will notice, and the stutter usually disappears immediately.

When it really is the hardware

If clean, correctly encoded media on internal storage still stutters with only one output connected, you have hit a hardware ceiling. At that point the useful upgrades are, in order: more RAM, a faster GPU with more VRAM, then a faster processor. Our requirements guide covers sensible targets for each type of setup.

Build a habit, not a fix

Re-encode media as part of preparation rather than as an emergency response. A five-minute conversion on Thursday is a much better use of your time than a stuttering background loop on Sunday, and it makes the whole system predictable, which is really what you are buying with all of this.
