Audience screens, stage displays and extra outputs: how to configure them, what resolutions to set, and how to test the whole chain before an event.

Multi-screen output is the main reason teams choose ProPresenter over a general slide tool, and it is also where most setup time disappears. This guide covers the order to do things in, so you configure once rather than three times.

Sort out the operating system first

ProPresenter can only use screens the operating system already sees correctly. Before opening the application:

  • Connect every display and confirm the operating system lists them all.
  • Set the arrangement to extended, never mirrored. Mirroring is the single most common cause of "the projector is showing my desktop".
  • Set each display's resolution to what the device natively accepts. Guessing produces soft text and letterboxing.
  • Note which physical screen is which in the arrangement, because they rarely appear in the order you expect.

Then configure screens in ProPresenter

Inside the application, screen configuration is where you tell ProPresenter what each output is for:

  1. Audience screen. The main output the congregation or attendees see. Match its resolution to the projector or LED wall input.
  2. Stage display. A separate output for musicians and speakers, with its own layout showing current slide, next slide, a clock and messages.
  3. Additional audience screens. Lobby, overflow or side screens, which can show the same content or something different.
  4. Streaming or capture output. Sent to a switcher or encoder, often keyed over camera rather than as a full-screen feed.

Design the stage display for the platform, not the booth

Musicians read at a glance while playing. Big current lyric, smaller next lyric, a clock, and a message line. Anything else is noise. Go and stand where they stand before you sign it off.

Cables, adapters and the things that fail

Long HDMI runs are the most common physical failure in a venue. Symptoms are intermittent: a screen that drops out when someone walks past the cable, or a display that goes black between services and comes back after a reboot. Fixes, in order of how often they work:

  • Use decent quality cable rated for the length you are running, not the one that came in a box.
  • Add a signal extender or converter for anything beyond a few metres rather than chaining adapters.
  • Avoid daisy-chained dongles. Each adapter is another point of failure and another handshake to negotiate.
  • Test after the machine has been asleep, not just after a fresh boot. Sleep is when handshakes break.

How many screens can your machine drive?

This is a hardware limit, not a software one. On Apple silicon Macs the number of supported external displays varies significantly by chip, and base models support fewer than Pro or Max variants. On Windows it depends on your GPU and its outputs. Check the specification of your exact model before promising a third screen. Our system requirements guide covers this in more detail.

NDI, Syphon and capture cards

If your outputs feed a video switcher, you have three routes: a physical capture card taking an HDMI or SDI output, NDI over the network, or Syphon on macOS for local applications. Network-based options save cabling but put your video on the same network as everything else. If your streaming feed stutters while the room looks fine, the network is the first thing to examine.

Test the whole chain, in order

  1. Send a test slide with text at the edges to every screen and confirm nothing is cropped.
  2. Play a video on the audience output while watching the stage display for stutter.
  3. Put the machine to sleep, wake it, and confirm every output returns without intervention.
  4. Unplug and reconnect the audience screen to see how the system recovers mid-event.
  5. Run a full rehearsal with the actual service content, not a test pattern.

Step three catches more real-world failures than the other four combined. If your outputs do not survive a sleep and wake cycle, they will not survive a Sunday morning either.
